Participation Policy

• Event badges are non-transferable.
• Event registration fees must be paid in full at the time of sign-up.

• All badges are non-transferable.
• All co-registrants must be employed by the same company.
• Group members must be registered at the same time — discounts will not be applied retroactively.
• Participants must pre-register to receive group discount rates, as on-site registration is not eligible for discounts.
• Group registration rates cannot be combined with any other promotional offers.
• Affiliate referral commissions are not applicable to group registrations.

• Booth registrations made through the official VX registration site require full payment at the time of sign-up.
• VX offers a booth deposit option for exhibitors who wish to reserve space in advance.
• Booths must be paid in full within 60 calendar days of sign-up or deposit.
• Failure to pay the balance within this period will result in automatic cancellation of the reserved space without refund.
• VX must receive full payment for all additional furniture and services ordered by exhibitors prior to the published deadline.
• If payment is not received by the deadline, the exhibitor must make payment on-site by cheque or credit card, subject to a $100 late payment fee.

• Exhibitors or delegates who wish to cancel their package or registration must notify Velocity Xperiences (VX) in writing at least two (2) months prior to the event to receive a 75% refund.
• Cancellations made between two (2) months and one (1) month before the event are eligible for a 50% refund.
• No refunds will be issued for cancellations made within one (1) month of the event date.
• Orders may be cancelled by emailing info@vxperiences.com with “Order Cancellation” in the subject line.
• Orders cannot be cancelled within 30 days prior to the event; all sales made after this period are considered final.

• Participant contact details will be stored in a secure database accessible only to Velocity Xperiences (VX).
• Participant names and company information may be published in the official list of attendees.
• Contact details may be used to share information and announcements regarding future VX events and editions.
• VX and its affiliated agencies or partners do not accept responsibility for the loss of or damage to attendees’ personal property.

By registering to participate in a VX event, you grant VX permission to photograph, film or record you and to use your name, likeness, image, voice and comments in any media format — including publications, advertisements or digital platforms — for promotional or archival purposes, worldwide and without compensation.

• Your official event badge will be printed at the on-site registration counter. Please bring a printout or display your registration barcode confirmation (smartphone or tablet accepted) to collect your badge.
• A photo ID (driver’s licence, passport or government-issued ID) may be required for verification.
• Conference and trade show materials will be distributed upon badge collection.
• All exhibitors and delegates must wear their name badge visibly at all times during the summit.
• The use of a badge by anyone other than the person named on it is strictly prohibited and may result in badge confiscation.
• If you lose your badge, please visit the Registration Desk for a replacement.

Dress code

Business attire or business smart is required.

Age restriction

No one under the age of 15 will be admitted to VX events.

Networking protocol

Bring your business card. ATIGS is a professional business platform facilitating Government-to-Business (G2B), Government-to-Government (G2G), Business-to-Business (B2B) and Business-to-Consumer (B2C) meetings.

Press access

Members of the press are required to report to the VX Press Desk to obtain a Press Pass before engaging in any photography or videography.

VX does not provide travel, baggage or medical insurance. All participants are strongly advised to obtain comprehensive travel insurance directly from their preferred and trusted insurers.

Neither VX, its co-supporters, nor any display space providers — or any of their officers, agents, employees, representatives or assigns — shall be held liable for any damage, loss, harm or injury to the person, property or business of any exhibitor or delegate (or their representatives) arising from, but not limited to:

• Theft, fire, earthquake, water damage, facility unavailability or accident
• Any other circumstance in connection with participation in VX events

By participating, exhibitors and delegates agree to indemnify, defend and hold harmless VX, its co-supporters and space providers from any and all claims, demands, suits, liabilities, damages, losses, costs or expenses (including attorneys’ fees) resulting from their participation or actions during VX events.

Velocity Xperiences Global LLC (VX Global) reserves the right to cancel an event due to low enrolment, inclement weather or any other circumstances that make the event non-viable. If VX Global cancels an event, all registered participants will receive a full refund. In the event of a postponement, registrants may choose either a full refund or to transfer their registration to the rescheduled date.

For weather-related cancellations, VX Global follows the schedule of the event host city. Any updates or cancellations will be announced on the summit website and on VX websites.
